Subject: Complaint Against Post Office Sector 8 Faridabad for Negligence, Mishandling of Important Documents, and Excess Charges

Respected Sir/Madam,

I am writing to file a formal complaint against the Post Office, Sector 8, Faridabad, Haryana, for their negligent handling of important educational documents that I sent via Speed Post on 12th September 2024. Additionally, I have been charged an excess fee for the service, and despite multiple requests, the issue remains unresolved. I wish to bring the following issues to your attention:

Wrong Consignment Number Issued: When I sent the documents through Speed Post, the Postmaster at Sector 8 Post Office issued me a handwritten receipt with an incorrect consignment number, EH02459595587IN, which does not exist in the India Post records. This has caused significant concern, as the consignment number was crucial for tracking the delivery of my important documents.

No Assistance from India Post Helpline: I contacted the India Post Helpline immediately to inquire about the consignment number, but they were unable to assist me in locating the documents. The consignment number was not recognized in their system, and I received no help in resolving the issue.

Unhelpful Response from Post Office Sector 8: I visited the Sector 8 Post Office multiple times to resolve the issue. However, I was met with rude and unhelpful responses from the staff, who denied assistance and failed to offer any information regarding the whereabouts of my documents. Despite my repeated requests, they did not acknowledge their negligence or provide any support.

Impact on Educational Process: The documents I sent via Speed Post were crucial for correcting a candidate’s name with the Board of School Education Haryana, to enable the continuation of studies. Due to the Post Office’s negligence, I was unable to track the delivery of the documents, and I had to personally visit the Board’s branch. Even with the incorrect consignment number, the Board could not locate the documents.

Excess Charges: On top of the issues mentioned above, I was charged Rs. 71 instead of the correct fee of Rs. 41 for the Speed Post service. This excess charge was not explained at the time of payment. When I raised the issue with the Post Office, they acknowledged the mistake and informed me that I should be refunded the excess amount. However, despite this admission, the excess charges have still not been returned to me. This is not an isolated incident, as I have experienced similar practices multiple times at this Post Office.

Personal and Financial Loss: As a result of the Post Office’s mishandling of my documents and the excessive charges, I have faced severe inconvenience, delays, and additional financial losses. The total estimated loss amounts to Rs. 1,50,000, which includes the time, money, and effort spent resolving the issue, as well as the emotional distress caused.

Grievance and Relief Sought:

  • I seek compensation for the inconvenience, delay, and financial losses caused by the Post Office’s negligence, including the Rs. 1,50,000 loss.
  • I also seek a refund of the excess charges of Rs. 30 that were collected from me, as acknowledged by the Post Office.
  • I request that the Post Office be held accountable for their negligence, failure to issue correct consignment numbers, and mishandling of documents.
  • Additionally, I request the Court’s intervention to ensure that the Post Office improves its procedures and customer service, preventing future incidents of similar negligence and improper charging.
I have raised this matter in an RTI application (Reference Number: POSTS/R/E/24/16975) where the Post Office has admitted the excess charge and promised a refund. However, the issue remains unresolved.

I trust that the Hon'ble Court will look into this matter and ensure that appropriate compensation is provided for the loss and inconvenience caused.
